C1 Clearance · For Sam and Dan · 28 September 2026
Where we got to today
A tester went through the whole Lead Centre and found 21 things. They're all fixed and live. We also got into your Aircall account and caught something serious before it could bite. Here's the lot, and the short list of what's now with you.
Start here
Everything we can do without you is done. The app is fixed, tested and deployed, and Aircall is five steps into nine — the account is live, the key works, and we know which number is C1’s.
Two steps are left before real enquiries arrive, and both are yours: four settings onto our server, and one webhook created in Aircall. That is about ten minutes between you and the first real lead landing.
Until that's done, the Lead Centre still shows made-up data — exactly as it did when Dan asked last week.
Where Aircall has got to
Five of the nine steps are done. Two are with you, and they are the short ones.
5 of 9 done · 2 with you · 2 follow automatically
✓Aircall account created
Done by Sam. This was the thing everything else was queued behind.Done
✓API key created and proved working
We called Aircall with it and got a clean answer back, so we know the key is right rather than assuming it.Done
✓C1’s number identified — 0333 091 3602
Picked from the real list on the account, so there is no guesswork about which line the Lead Centre watches.Done
✓Lead Centre taught to talk to Aircall
Both directions built and tested: reading what comes in, and sending replies back out.Done
✓Protection against the shared account
Built and tested today, after we found three other businesses on the same account. See below — this one mattered.Done today
●Four settings onto our server
Copied from the Aircall account onto the Lead Centre’s server. We have them ready; they just need putting in place. Minutes, not hours. With you
●One webhook created in Aircall
The bit that tells Aircall where to send a call or a text. One form, one address, five tick-boxes. This is the step where real enquiries start arriving. With you
○0330 133 9144 forwarded to Aircall
The number on the van starts reaching the inbox. Same day as the two steps above, and nothing on the van or the leaflets changes. Then
○0330 moved across properly
About a month, handled with your current provider. No downtime — the forwarding covers it until it completes.~1 month
What we need from you
Three things, in the order they matter.
One · Sam · 10 minutes
Switch Aircall on Blocks everything
We've been into the account and confirmed the key works. What's left is putting four settings onto our server and creating one webhook in Aircall so calls and texts actually reach the Lead Centre. We'll send the exact steps, or sit with you while you do it.
Please generate a fresh API key when you do. The one we tested with has been passed around during setup and shouldn't be the one that goes live. Takes a few seconds in the same screen.
Two · Dan · one introduction
Who looks after the website?
We found out what it's built in ourselves, so this is no longer a question about technology — we just need an introduction to whoever maintains c1clearance.co.uk. It's a half-hour job at their end and then every form fill lands in the Lead Centre within seconds.
Good news: the site is built in a way that makes this clean and safe. No password or key ever ends up on the public page.
Three · a yes or a no
The separate WhatsApp number — about £45 a month, on its own bill in C1's name. Nothing gets bought until you say so, and nothing else is waiting on it. If you'd rather not, say so and we'll drop it; the phones and the website form don't depend on it either way.
The one worth telling you about
Your Aircall account isn't only yours
When we got in to set things up, we found four numbers on that account — C1 Clearance, and three lines belonging to completely unrelated businesses: a clinical line and two site-services firms.
That matters because of how Aircall works. It sends call and message alerts for the whole account, not per number. Connected as it was, the first call to that clinical line would have opened a lead in C1's inbox — their caller's phone number, their voicemail, their recording, sitting in your system.
We found it before switching anything on, and fixed it the same day. The Lead Centre now ignores anything that didn't come in on C1's own number. We tested it: a call on the clinical line is refused, the identical call on C1's line opens the lead properly.
Worth knowing either way — if that account is shared with other businesses on purpose, it's worth a conversation with whoever administers it.
What we fixed today
A tester went through every screen on a phone and a desktop. Twenty-one findings, all done.
Buttons did the wrong thing.
"Send chaser" didn't send a chaser — it quietly moved the job to Booked. "Price it up" moved it to Site Visit Required. Every button now does what its label says, or says what it actually does.
Every time was an hour out.
An enquiry that came in at 17:57 was shown as 16:57. Now correct, and it handles the clocks changing in October by itself.
The page was wider than the screen on a normal laptop.
Anything between a small laptop and a big monitor scrolled sideways, cutting off the Sign out button and the end of the pipeline. Fits properly now.
Notifications were chopped off on phones.
The panel ran off the edge of the screen and every line lost its first few words.
The "next step" notes were stale.
A finished job still said "Confirm Thu 8:30", and one quote said to chase it on a date before the enquiry even arrived. They're worked out from the job now, so they can't go stale.
The Numbers page was telling you something untrue.
It stated "Forwarding is already live" while the setup step for forwarding hadn't started, and listed all four channels under a heading saying "CONNECTED" while Settings correctly said none were. Both now read the real state. This was the one we least wanted left in.
Text you couldn't comfortably read.
Timestamps, "Unassigned", the green stage labels and the red "Overdue" were all too faint to meet the accessibility standard. Every word on every screen now passes.
The phone version was the poorer product.
It hid the "next action" column — the one that tells you what to do — and you couldn't start a quote from a phone at all. Buttons were too small to hit reliably. All fixed, and a conversation now has noticeably more room for the messages.
Small things that add up.
Refreshing no longer throws you back to the Dashboard, the Back button works, rows that look clickable now open the lead, the dashboard counts stopped calling finished jobs "live", developer notes came off the screen, and the app can go on a phone's home screen.
Two more things to be aware of
Your new Aircall number is 0333 091 3602.
That's not the 0330 133 9144 on the van. That's per the plan — the van's number gets forwarded to it now and moved across properly in about a month — but worth confirming that's what Sam intended, rather than the 0330 being moved directly.
There's still some test data in the live system.
One lead shows as finished three times over, and a stray "hi" someone typed while testing is sitting as a lead's summary line. Harmless, but untidy. We've built the tool to clear it — it just needs running by whoever has access to the database, and it shows you exactly what it'll remove before it removes anything.
Still open from the 16th
None of these block the switch-on. They're the smaller ones from the questions page.
What does hello@c1clearance.co.uk run on?
Google, Microsoft or something else. Email needs a connection of its own — Aircall doesn't carry it. If a fair share of your enquiries come in by email, this one's worth answering sooner.
If enquiries stop arriving, who should we tell?
An email address or a mobile. The alarm is built and running; it just needs somewhere to ring.
What hours should the 30-minute clock run?
It currently runs all day on weekdays and ignores weekends.
And the quick ones.
How long to keep recordings, whether you want your own copies of the photos, and whether everyone carries on sharing the hello@ login.
They are carried over into the boxes at the bottom of this page, so everything outstanding is in one place.

Everything above that needs a reply is on one page, as boxes you type into that save as you go — when the switch-on suits, who looks after the website, the WhatsApp yes or no, and the smaller ones.
Answer them at the bottom of this page.
In one line
The app is finished and correct. Ten minutes with your Aircall admin and an introduction to the website's developer, and real enquiries start landing.
