Your questions, answered

Hi Dan — you asked about the landline, where the WhatsApps are going, and why the leads on the Lead Centre don't look right. Had a proper look at all of it. Here's the lot.

The honest answer first

None of the channels are switched on yet. So what you're seeing on the Lead Centre is the demo data we built it with — made-up names, made-up jobs — not real enquiries.

That's why your form leads aren't showing. They were never being sent to it in the first place. Nothing's been lost — they've gone wherever they were going before.

We checked the live system this morning to be sure rather than going off memory. Phone, texts and WhatsApp aren't connected, the website form isn't connected, and nothing has even tried to send anything in. So it isn't leads arriving and getting dropped somewhere. They aren't being sent yet.

The landline

0330 133 9144 is set up as the number on the van, but it's not plugged into the Lead Centre yet.

That's waiting on Sam creating the Aircall account, which is the thing that issues the number and switches on the calls, the voicemail and the texts. Once that's done we forward the 0330 into it the same day, and every call starts landing on a lead thread with the recording attached. About a month after that the 0330 moves across properly and the forwarding comes off.

So to answer "where can I access it" — right now, nowhere, it just rings where it rings today. Once the forwarding's on, it's the Lead Centre, same place as everything else. The van and the leaflets never change at any point, that was the whole reason for doing it in this order.

WhatsApp

It isn't going anywhere yet — we haven't bought the number.

And no, you won't need to log into WhatsApp on a new phone or anything like that. It'll be a separate number that runs through the provider, so the messages come straight into the Lead Centre rather than sitting on someone's handset. That's rather the point — anyone in the office can see them and reply, and nothing's stuck on a phone that's out on a job.

Your 07440 517077 stays exactly where it is, on your phone, untouched. We're deliberately leaving that one alone since it's the number printed inside the QR code on the van. On your own figures — two enquiries in eight months off that QR — there's nothing there worth the risk of moving it.

The form leads that aren't showing

You're right, and we know exactly why. There's a door already built into the Lead Centre for website form fills. It's finished and tested. We just never pointed the website at it.

So every form fill you've had has gone down the old route, same as before we started. They're not missing, they're just not in the new place yet.

This one doesn't wait on Sam or on Aircall, it's completely separate. But it does need one thing from you, and it's already on the list we sent over on the 16th: what's the website built in, and who looks after it? WordPress, Wix, Squarespace, something custom — the answer changes what we hand their developer to paste in. Your Google Ads landing pages count too.

Tell us that and we can have it done this week, and a form fill will show up in the inbox within seconds of someone pressing submit.

Where leads will come from

Once it's all live: the form, the calls, the texts and the WhatsApps all land in the one place. Email's the exception. Here's where each one stands today.

Where it comes fromLands in Lead Centre?Today
Website & Google Ads form Yes as its own Form channel Not connected. Needs one answer from you — what the site's built in — then it's a week's work at most.
Calls to 0330 133 9144 Yes with voicemail and recording Not connected. Waiting on Sam's Aircall account.
Texts to the Aircall number Yes Comes with Aircall, same switch-on.
WhatsApp Yes Number not bought yet Needs a yes from you on the separate number.
Email to hello@c1clearance.co.uk No — not yet Aircall doesn't carry email, so it needs a connection of its own. Already asked on the 16th: what does hello@ run on?
07440 517077 (van QR, your phone) No — by design Stays on your phone, as agreed.

On not missing any leads

This was the bit underneath all four questions, so it's worth answering on its own.

The worst way a system like this fails is quietly. A setting changes, enquiries stop arriving, and every screen carries on looking completely normal — you'd find out a fortnight later.

So there's a monitor built in that watches for exactly that. If a connected channel goes quiet during working hours it goes red and we get told, and it's sensible enough to ignore evenings and weekends so it isn't crying wolf at 9pm on a Saturday.

The honest caveat: that only works for channels that are actually connected, and today that's none of them. Which is really the answer to "am I missing leads" — you're not missing them in the Lead Centre, because nothing's going into it yet.

What happens next

Three things, and they're all independent of each other.

What we still need, and who from

Nothing here is hard — it's all just answers. These are the ones that actually hold things up.

From Sam

Ten minutes with your Aircall admin Blocks the lot

The account, the two API keys, the number id and a webhook with its secret. We'll send the exact steps — it's genuinely ten minutes, and everything else is queued behind it: the calls, the voicemail, the texts and the route to WhatsApp.

And a yes on the WhatsApp number — about £45 a month on its own bill, in C1's name so the number's always yours. Nothing gets bought until you say so.

From Dan

What's the website built in? Blocks the form

And who looks after it. WordPress, Wix, Squarespace, something custom — it changes what we hand their developer. Google Ads landing pages count too. This is the one that gets your form leads flowing, and it doesn't wait on anyone else.

Then three quick ones: what hello@c1clearance.co.uk runs on (Google, Microsoft, something else), who we should tell if enquiries ever stop arriving, and whether there are live enquiries to bring across or we start clean.

The full list

There are a few smaller ones beyond these — the hours the 30-minute clock should run, how long to keep recordings, whether you want your own copies of the photos. They're all on the 16 September questions page, as boxes you type into that save as you go, so you can do it in two sittings. It needs the access code we sent you. yashc-0101.github.io/c1-client-portal/2026-09-16-c1-what-we-need-now.html

In one line

Nothing's broken and nothing's been lost — it just hasn't been plugged in yet. Send us what the website runs on and you'll see the first real lead land within a few days.
