Your stages, not our guesses
The ones we'd built came off the design. These are the ones you gave us, and they're what the app runs on now.

Job Issues
Lost and Job Issues sit off to the side rather than in the line, because a job doesn't pass
through them. Invoiced and Paid are gone — you invoice elsewhere, and a second copy of
that here would only ever be the out-of-date one. Say if you'd rather have them back.

The 30-minute clock is running
- Any lead nobody has answered shows how long is left, and turns red once it's past 30 minutes.
- Weekends don't count. Something landing on a Saturday isn't late on Sunday — it picks up where it left off on Monday, carrying Friday's minutes with it.
- It stops as soon as someone replies, or moves the lead on from New Lead.
It doesn't know your opening hours, because you've got those in Aircall. Tell us the hours and we'll
stop the clock outside them too.
Numbers & Routing now shows your plan
It was still showing the old idea — porting the van's WhatsApp number off Lycamobile, with a Facebook
verification step. Both are gone.
0330 133 9144 — forwarding to Aircall, then ported across in about a month, exactly as you described it.
- The new Aircall number and the WhatsApp number show as pending until they exist.
07440 517077 is out of the app altogether. It stays on Dan's phone and nothing touches it.
- Ring groups, hours and automatic replies now point at Aircall, since that's where you're setting them. The app was describing rules it doesn't actually control.
- Nothing shows as connected any more until it genuinely is. It was quietly claiming everything was live.
Website forms can come straight in
You asked for a way to push form fills into the system. It's built and live.
- A form fill lands as its own kind of lead, not filed as an email — you can't reply to a form, and pretending otherwise gets someone caught out.
- If the person has rung or messaged before, it joins their existing thread instead of making a second one.
- It's shut until we switch it on, so nobody can push junk into your inbox.
Two things to finish it: we set a key on our side, and someone points the form on the website at it.
Just tell us what the website's built in — WordPress, Wix, something custom — and we'll send whoever
looks after it the exact thing to paste.
One thing you'll notice. The eleven made-up leads in there still show our old job types — "flat void",
"office strip-out" and so on. That's deliberate: the app won't overwrite lead data on an update, which is
the behaviour you want the day those are real customers. They disappear when we clear the demo data and
start clean, as you asked.
Still with you
- The Aircall settings, once you've made that admin login. Five things, ten minutes — we'll send the steps.
- WhatsApp billing. You said put it on the current Aircall account, but the WhatsApp number can't come through Aircall — that's the Facebook route you ruled out. It'll be a separate small bill, about £45 a month. Just confirm you're happy with that.
- "Job Complicated" — we've read that as Job Complete. Shout if you meant something else.
- How long we keep things. Aircall covers telling callers they're recorded, but not how long lead records and transcripts live in here. GDPR wants a number — a year, two years, whatever suits.
- What
hello@c1clearance.co.uk runs on — Google, Microsoft, or something else. Email's a real channel per your answer, and that decides how we connect it.
Photos now stay put
This was the big one. You quote off photos, and until this afternoon a picture sent over WhatsApp would
have arrived and been thrown away.
- Photos show up in the conversation, as thumbnails you can click to open full size.
- Someone sending three photos and no words is now a normal enquiry. It used to be ignored for having no text.
- Call recordings and voicemails are kept too. The thread had a "Play recording" line on it from day one with nothing behind it — there is now.
One decision for you, and it is worth making before real photos start arriving. What we keep is a link to
the phone company's copy of the picture, not the picture itself. If they ever delete or expire theirs, the
thumbnail stops working and you are left with the filename. Holding your own copy means paying for
somewhere to put them — a few pounds a month, most likely. Tell us if you want that and we will price
it properly.
And it will tell us if it breaks
- The worst way for this to fail is quietly — a password changes at Aircall's end, enquiries stop arriving, and the inbox just looks like a slow day. Nobody notices until a customer rings to ask why they were ignored.
- The app now watches for that and raises the alarm when a connected channel goes silent for too long.
- It counts working hours only, so a quiet evening or a Sunday doesn't set anything off.
What's left on our side
- Backups. Confirming they're switched on before a single real customer is in there.
- Where photos live long-term, once you've told us whether you want your own copies.
